Terms & Conditions – Arctic Fox Expeditions
These Terms and Conditions apply to all tours and guided services offered and delivered by Arctic Fox Expeditions, based in Rovaniemi, Lapland, Finland, and in any other location where our services are provided.
1. Services and Prices
The prices and services provided by Arctic Fox Expeditions are described in the tour descriptions for each experience. All prices include VAT as required by Finnish Tax Laws and Regulations.
Arctic Fox Expeditions reserves the right to adjust prices in the event of unforeseen cost increases beyond our control (including, but not limited to, taxes, fuel prices, or subcontractor costs).
We offer the most accurate and up-to-date prices on our official website, www.arcticfoxexpeditions.com. Arctic Fox Expeditions cannot be held responsible for price differences that may occur on third-party reselling platforms. Discounts and promotions are subject to availability.
2. Reservation and Confirmation
Bookings are considered confirmed upon full payment received by Arctic Fox Expeditions.
For online bookings, an automatic confirmation email will be sent to the customer once payment is processed.
For bookings made in person, a confirmation and payment receipt will be provided at the time of purchase.
3. Booking Changes
Requests to modify a booking must be submitted in writing to info@arcticfoxexpeditions.com at least 48 hours prior to the start of the tour.
Arctic Fox Expeditions reserves the right to accept or decline any modification requests, depending on availability and operational capacity.
4. Cancellation Policy
Cancellations must be requested in writing via info@arcticfoxexpeditions.com.
Cancellation fees are calculated based on the date the request is received by Arctic Fox Expeditions.
Cancellation Fees:
- 50% fee if cancelled within 7 days or less of the tour date.
- 10% fee if cancelled 8 days or more before the tour.
If stricter cancellation terms are required by a subcontractor or third-party supplier involved in delivering the service, those terms will apply.
5. Child Policy
Child rates apply to children aged 10–16 years, unless otherwise stated in the tour description.
Infants under 4 years old must be declared at the time of booking and may be subject to a participation fee. However, participation of infants is not recommended for safety and comfort reasons.
Arctic Fox Expeditions reserves the right to refuse, even at the last moment, the participation of an infant if deemed unsafe. In this case, a full refund for the infant fee and one accompanying adult will be provided.
6. Service Language
English is the standard language of our tours and services.
7. Travel Insurance
All participants are required to have valid personal travel insurance covering:
- Winter and snow-related activities
- Medical expenses
- Cancellations or travel disruptions
- Liability for damage caused to others
EU, EEA, and Swiss citizens holding a valid European Health Insurance Card (EHIC) are entitled to medical services in Finland under Finnish law.
8. Safety
All participants must carefully follow the guide’s safety briefings and instructions during the tour.
Participants are responsible for dressing appropriately for the weather and conditions of the activity.
Participation in all activities and tours is at one’s own risk.
Arctic Fox Expeditions reserves the right to exclude any participant whose behavior compromises safety or the enjoyment of others, without refund.
9. Third-Party Services
Arctic Fox Expeditions may sell or promote experiences provided by trusted third-party partners.
In these cases, both Arctic Fox Expeditions’ Terms & Conditions and the third-party provider’s Terms will apply.
We are not responsible for service deficiencies or operational issues caused by third-party suppliers.
10. Use of Photos and Digital Content
By participating in our tours, customers agree that photos, videos, or other digital media captured by Arctic Fox Expeditions staff may be used for marketing and promotional purposes (e.g., social media, website, brochures).
We will never sell or share such materials with third parties for unrelated purposes.
Participants may request not to appear in promotional materials by notifying us in writing before the start of the tour at Sales@arcticfoxexpeditions.com.
11. Applicable Law and Jurisdiction
These Terms and Conditions are governed by and interpreted in accordance with Finnish Law.
Any disputes shall be settled exclusively by the District Court of Lapland (Lapin käräjäoikeus) in Rovaniemi, Finland.
12. Severability
If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining sections shall continue to be valid and enforceable to the fullest extent permitted by law.
